Share Year-End Reports With Clients
CPAs and tax preparers: how to deliver year-end financial reports with a timestamped download record, before January document requests begin.
· By ProjectSend Team

Tax season starts the moment a client receives their year-end package. Most CPAs deliver by email -- attachments that get blocked by spam filters, Dropbox links with no record of who opened what, and a follow-up call in January for a file you sent in December. A client portal changes the entire workflow: one private space per client, one upload, and a timestamped log of every download.
Why Year-End Reports Get Lost in Email
Email creates three problems when delivering year-end reports. Attachments over a few MB are silently blocked by corporate spam filters. There is no record of whether the client opened the file. And when clients misplace the email in February, they call asking for the same report you sent six weeks earlier.
Dropbox and Drive solve the size problem but not the others. A shared link has no log -- you cannot tell if the client downloaded the file or just has the link sitting in their inbox. For engagements where delivery timing matters (K-1s, signed returns, financial statements with a review date), "I emailed it" is not enough.
What a Year-End Package Typically Includes
The exact documents depend on your client and your engagement type. For most CPA and tax-prep practices, year-end delivery includes a mix of the following:
- Financial statements (balance sheet, income statement, cash flow statement)
- Signed tax returns (Form 1040, 1120, 1065, or the applicable form)
- Schedule K-1 for partners and S-corporation shareholders
- Year-end tax planning letter with any estimated payments or action items for Q1
- Investment performance summary (for financial advisors and wealth management practices)
- Supporting schedules and workpapers the client needs for their own records
How to Deliver Reports Through a Client Portal
With ProjectSend Cloud Pro, each client has a private, branded portal. You upload the year-end package to their space, they get an email notification, and you see the download record immediately. No follow-up needed unless the audit trail shows a client has not opened the file.
- Create a client account for each client in your portal. Invite clients in November so the first login is not during the year-end rush.
- Create a folder for the tax year (for example, "2026 Year-End") inside the client's space. This keeps multiple years organized without cluttering the root.
- Upload the year-end documents to the folder. Resumable uploads handle large PDF packages without timing out.
- The client receives an email notification with a link to your branded portal -- not a generic Dropbox link, your logo and your domain.
- The client logs in and downloads. No new account needed if they already have one from a prior year.
- Check the audit trail. The download appears immediately with the client's name, the file, and the exact timestamp.
The Record That Proves Delivery
Every download is logged automatically: client name, file name, and exact timestamp. When a client calls in February saying they never received their year-end report, you can confirm in 30 seconds exactly when they downloaded it -- or see that they have not.
The Pro plan includes one year of audit history viewable in your portal. The Business plan adds CSV export of the full audit log -- useful for practices where engagements require documented delivery, or for any dispute about when a client received a specific report.
Actions taken by an AI assistant are also logged, labeled by the assistant that performed them. If you use an AI assistant to deliver files during a busy filing period, those deliveries appear in the same audit trail alongside the client's download confirmation.
Deadlines That Make December Setup Worth It
For the 2026 tax year, the IRS Instructions for Forms W-2 and W-3 require employers to furnish W-2s to employees by February 1, 2027 -- January 31, 2027 falls on a Sunday, so the deadline shifts to the next business day. The IRS Instructions for Form 1099-NEC require furnishing 1099-NEC to recipients by January 31, 2027. These deadlines drive your clients' questions -- but their calls start well before January 31.
- W-2 (to employees, 2026 tax year): February 1, 2027 -- January 31, 2027 is a Sunday
- 1099-NEC (to recipients): January 31, 2027 -- same deadline as filing with the IRS
- Year-end financial statements: no fixed IRS deadline -- deliver before the last week of December so clients have them before the holiday
Clients navigating a new portal login on February 1 are going to call. If they have logged in once or twice before the holidays, the year-end delivery is uneventful.
Set Up Before the Last Week of December
The clients most likely to miss a deadline are logging in to a new system for the first time under pressure. Invite clients to the portal in October or November, upload a placeholder document so they complete the first login, and the year-end package delivery becomes routine rather than a tech-support call.
The client portal setup guide for tax season covers the full portal setup from initial configuration to client invitations. If your firm is also collecting documents from clients -- organizers, prior-year returns, source documents -- the guide on collecting client documents covers the intake side. Both workflows run on the same portal -- clients use one login for everything, whether they are downloading a report or uploading a W-2.

Frequently asked questions
- Do clients need an account to download year-end reports?
- Yes. In ProjectSend Cloud, each client logs in to their private space to download files. This creates the audit trail -- a download record tied to that client's account. The Free plan does not include client accounts; you need Pro or Business.
- Does ProjectSend Cloud notify clients when I upload a new report?
- Yes. When you upload a file to a client's space, they receive an email notification. Notification preferences can be configured per client.
- Can I export the audit trail as a CSV for compliance?
- Yes, on the Business plan. Pro gives you one year of audit history visible in the portal. Business adds CSV export of the full audit log.
- What if a client does not download the report before January 31?
- The audit trail shows an empty download record for that client. You can follow up only with clients who have not downloaded, rather than sending a bulk reminder to everyone.
- Can I use ProjectSend Cloud for both delivering reports and collecting client documents?
- Yes. File uploads work in both directions -- you upload to a client's space, or the client uploads to yours. The post on how tax preparers collect client documents covers the intake side of the workflow.
